Fill My Music Note is a brand new fundraising format for bands, choirs, and musical groups in which participants try to get a donation for each of 30 spaces in their music note. Each donor leaves their name and fills a music note space. Spaces range from $5-$100 and total to $740 per music note – raising you more than enough money for equipment, instruments, costumes, and set design.

Everything you need to know about running a fill my fundraiser.
School band & orchestra programs: Rosters run 20–80 musicians, so sections filling music notes together cover new instruments, repairs, or spring festival travel — no car wash, candy bars, or weekend lost to a bake sale. Each participant shares their own link.
Ideal timing for a Fill My Music Note fundraiser depends on your program's calendar. School band and orchestra programs do best in late August or September, right as the school year kicks off and marching season builds momentum, or ahead of a winter concert when the community is already engaged and excited. Choir programs can lean into the weeks leading up to a holiday performance or spring showcase — when support is at its highest and the audience is already paying attention.
For programs heading to a festival, competition, or spring trip, launching 2–4 weeks out gives families a clear reason to give and a deadline that drives urgency.
Book a demo, get your sign-up link, then create your fundraiser and add your roster — Teamfi generates a donation page for each participant automatically. A full band program with multiple sections sets up just as fast as a single small ensemble. A few things worth considering:
Music program fundraising usually means a candy bar sale, a restaurant night, or a coupon book — all of them work, and all of them ask the same families to show up one more time.
This one is a music note. Participants watch their shape fill in with their name on it, and so do donors. That lands differently than a discount card, especially for the student who dreads asking.
It also runs alongside the season instead of interrupting it. No rehearsal time sacrificed, no shifts to schedule. Launch it the week school starts or right before a big performance and it works while your program rehearses.

Simple, no-cost fundraising designed for organizations of any size.

How do the digital Fill My Music Note donations work — can someone claim more than one space?
Yes. A donor can claim as many spaces as they want, and their name shows on each one they take (if they choose to leave their name). They can also give a custom amount outside the $5–$100 range if they'd rather. Every donation goes straight to your account through Stripe, so there's no cash to collect or checks to deposit — all music note spaces and custom donations are automatically tracked in real time on your Teamfi fundraiser dashboard.
Can we run a Fill My Music Note alongside our march-a-thon, calendar, or crowdfunding fundraiser?
You can, though most families give once a season — running two at once often means getting half of each. Many volleyball programs slot a Fill My Music Note into the opposite part of their calendar from other digital options like crowdfunding or digital calendars.
For example, if your program runs a crowdfunding campaign at the start of the school year, a Fill My Music Note works well ahead of a winter concert or spring festival — or in the months leading up to a competition trip, when travel costs are about to hit.
When should we run a Fill My Music Note fundraiser?
It depends on which season your program runs. School programs do best in late August or September as the school year kicks off and marching season builds, or in the weeks leading up to a holiday concert when community support is at its highest. Programs with a spring calendar have a natural window ahead of a festival, competition, or end-of-year showcase — when families are already engaged and a deadline drives urgency.
Whichever calendar you're on, most Fill My Music Note fundraisers find success in just a 2–4 week campaign — leaving your program with funds for new instruments, uniform upgrades, sheet music, or the next competition trip.
What happens if some of the musicians in our band, choir, or orchestra don't participate?
No problem at all — nothing breaks. Your program's fundraiser total is just the sum of what each participant raises, so there's no threshold to hit and partial participation still works. With music programs spanning multiple sections, grouping participants by instrument section, voice part, or grade level makes it easy to see which groups are moving and where a nudge would help.
One way to boost participation is a simple incentive for funds raised — a pizza party, custom program gear, or covered competition fees for top fundraisers. Music programs already raise real money on Teamfi: Del Norte Music Boosters in Northern San Diego raised $14,310 with Teamfi — and a Fill My Music Note works the same way, with each participant sharing their own link.
How do out-of-town family members donate to our Fill My Music Note?
This is the beauty of running a Fill My Music Note with Teamfi — it's all digital! To donate, anyone can tap the participant's link and claim a space from wherever they are. Music program families know this problem well: grandparents, alumni, and relatives can't always make it to a spring festival or concert across the state, but they still want to support the program. Participants share their link by text or social in one tap, and if your program is using Teamfi's free automated donor outreach feature, the work is done for you.
